How to check if the Printer'sConsumables Need to be Replaced?

Mar 04, 2025
  • Printer prompts

Indicator light prompts: Most printers are equipped with special consumable status indicators. When the toner/ink remaining in the ink cartridge or toner drum is low, the corresponding indicator light will light up, usually in yellow or red.

Screen prompts: For printers with LCD screens, when the consumables are about to run out, the screen will display corresponding prompt information, such as "Toner is low, please replace" and "Ink remaining is low". Some printers will also display the specific remaining ink or toner percentage.

Software prompts: The printer driver or related management software installed on the computer can also display the status of the printer consumables in real time. When the consumables need to be replaced, the software will pop up a prompt window to inform the user of the remaining consumables and recommend timely replacement.

  • Printing effect

Color deviation: If the color of the printed document or picture is obviously inconsistent with the original image, and there is color cast or fading, it may be that a certain color of ink in the ink cartridge is insufficient, or the toner of the toner cartridge is unevenly distributed, resulting in inaccurate color reproduction.

Blurred handwriting: The edges of the printed text or image are unclear, there are ghosting or blurry images, which may be due to insufficient toner or ink supply, making it impossible for the print head or toner cartridge to transfer the consumables to the paper evenly.

Blank streaks appear: During the printing process, if horizontal or vertical blank streaks appear on the paper, it means that the print head or toner cartridge may have local blockage or uneven distribution of consumables, which is often a signal that the consumables are about to run out.

  • Appearance of consumables

Cartridge: For inkjet printer cartridges, you can check the ink remaining through the transparent observation window on the cartridge. If you find that the ink level is significantly reduced and close to the bottom, you need to prepare to replace the cartridge. In addition, you can also gently shake the cartridge to feel the weight of the ink and judge the remaining ink.

Toner cartridge: For laser printer cartridges, you can open the printer's toner cartridge compartment and take out the toner cartridge for observation. If you find that the surface of the toner cartridge has obvious wear and scratches, or the toner is unevenly attached, and there is a partial shortage of toner, you may need to replace the toner cartridge. Some toner cartridges also have a toner remaining observation hole, through which you can check the toner amount.

  • Usage time and print volume

Usage time: Even if the printer prints less, if the consumables are left for too long, the performance may deteriorate due to ink drying, toner getting damp, etc. Generally speaking, the shelf life of ink cartridges is about 1-2 years, and the service life of toner cartridges also has a certain time limit.

Print volume: You can check the printer's print records or use the printer management software to understand the number of pages printed. The standard print page count of ink cartridges or toner cartridges of different models of printers is different, which is generally clearly marked in the product specifications. When the print volume approaches or exceeds the rated print page count of the consumables, you should consider replacing the consumables.
